“Peru Adventure Quest” TERMS AND CONDITIONS

REGISTRATION TERMS

Retreat cost includes:

• Meals not specified as “included” in the itinerary. (If you want to have 3 meals/day, you will need to cover 4 lunches & 3 dinners from the time our retreat starts (Welcome Dinner on October 26th) to the time retreat conclusion (breakfast on November 3rd). You can budget about $10-20 per meal + 10% tip (customary in Peru).
  
• Flight from your home to Puerto Maldonado.
  
• Flight from Cusco to your home.
  
• LATAM Airlines flight 2570 from Puerto Maldonado to Cusco (1:25pm-2:15pm, Oct 29th, 2024). You MUST book this flight to travel with the group during the retreat.
  
• Airline baggage fees.
• Travel Insurance (All retreat attendees are required to have travel insurance that includes medical coverage.)
  
• Optional, Bonus Day: Rainbow Mountain ATV tour, $85.
  
• Optional, Bonus Day: Hotel stay $50 per person (Nov 3 to Nov 4, 2024, double occupancy).
• Gratuity for anything other than the covered meals and excursions (e.g. concierge, bell person, housekeeping, massage therapist, etc).
  
• Free Time activities with associated fees.
  
• Alcoholic beverages, unless otherwise mentioned in itinerary.
• Personal expenses of any kind.
• Transportation not specified in the Retreat Itinerary.
• Telephone calls.
• Services not specified in the itinerary. For example, spa services (facials, massages, etc.) 

Refund and Cancellation Policy

We get that life happens, and we wish we could compensate for unforeseen circumstances, but we begin to incur costs the moment you book (if not before). Therefore, cancellations are non-refundable beginning 30 days prior to the retreat start date. So no refunds are granted after September 25, 2024.

Due to strict nature of the Machu Picchu reservation system, $250 of your registration fee is NON-REFUNDABLE. Beyond this non-refundable fee, all other payments or cancellation fees can be used as credit toward a future Dr. Venus product/retreat purchase.

Cancellations must be received in writing (an email to Team@DoctorVenus.com is acceptable). A full refund of registration cost minus a service charge (3%) will be given for cancellations up until August 25, 2024.

Any cancellations after August 25, 2024, will incur a 20% cancellation fee.

Transfers: Because Machu Picchu reservations are nontransferrable, you will incur an additional $250 fee if you transfer your retreat to another person. Transfers are subject to availability, however. Please notify us immediately in the case of a transfer request.

Cancellation by Us

A minimum of 4 (four) persons must join each Dr. Venus retreat in order for us to operate the retreat. If spaces are not filled, and we cancel, you are advised to utilize your recommended travel insurance for a refund. Dr. Venus reserves the right to cancel for any reason including low bookings, force majeure, and adverse environmental or political circumstances beyond our control. Every effort will be made on the part of Dr. Venus to a) not cancel b) should the trip be cancelled assist client to obtain refunds either through insurance, Dr. Venus, or by other means.

Travel Insurance

Retreat attendees are required to have travel insurance that includes medical coverage. The choice of the insurance provider is at the discretion of the attendee. Travel insurance serves to help protect attendees against unforeseen circumstances that may impact their travel plans. While Dr. Venus does not offer travel insurance directly, attendees can start exploring some options on this webpage.*

Arrival/Departure

Please plan so that your flight arrives at PEM (Padre Aldamiz International Airport in Puerto Maldonado) on October 26th, by 2pm local time, and departs from CUZ (Alejandro Velasco Astete International Airport in Cusco) on November 3rd, 2024. While it is not guaranteed, if your flight arrives in Puerto Maldonado by 2pm, you are likely to proceed through baggage claim, customs inspection, pick-up by driver, and transfer to Wasai Puerto Maldonado Ecolodge in time to make it to our Welcome Dinner at 6:30pm.

Extended Stay (Bonus Day)

If you plan to participate in the optional BONUS DAY activities on November 3rd, then you should consider that the expected time of return back to the hotel is 8pm. It is recommended that you plan your flight to depart from CUZ (Alejandro Velasco Astete International Airport in Cusco) the next day, November 4th, 2024. Your airport transfer is already included in your retreat fee.

Documents, Personal Identification.

Traveler is responsible for all required travel documents including passport, visas, entry or exit fees, and vaccinations. Dr. Venus does not cover the cost or assist in obtaining any of the above, and reserves the right to collect information on all.

At the time of this writing, the Peruvian government no longer requires COVID testing or vaccination for entry to the country.

OTHER TERMS & CONDITIONS

Deposit

A $400 (USD) deposit or full payment of $1749 (USD) is required for each traveler to secure the booking, until August 25, 2024. After this date, a deposit is no longer accepted for booking; full payment of $1799 is due.

Retreat Cost

$1749 (USD) per person for double occupancy room, with full payment by August 25, 2024. Cost increases to $1799 (USD) after this date.

Total cost is $1799 (USD) per person for double occupancy room, should you choose a 2-Pay payment plan.

Payment

Registration can be done with a full payment of $1749 (USD).

There is a 2-pay option to pay a $400 (USD) deposit upon booking, with additional payment of $1399 (USD) 1 month after booking.

The trip quoted includes all the taxes. If the tax scheme changes, prices will be adjusted accordingly.

For all payments: Non-refundable after September 25th, 2024.

Incidentals

Any incidentals caused by traveler to the accommodations, transit providers, or any Dr. Venus partners are at the traveler’s expense. Incidentals include but are not limited to damage or theft of property and any expenses charged to Dr. Venus for these reasons will be billed to the traveler using the credit card provided.

Limitations & Liabilities

To the extent permitted by law, you release Dr. Venus (including owners, directors, officers, employees, consultants, contractors, partners, agents, and volunteers) from any liability for any damage, loss, liability, or injury you may suffer in relation to your participation in the trip, package, or activity you purchased through Dr. Venus. You accept responsibility for your own actions and acknowledge that you are responsible for your own safety and for the safety of any children accompanying you. You acknowledge that your trip destination may be unfamiliar to you, and that you should be careful and prudent at all times. You are responsible for your own property and wellbeing, and you will not hold Dr. Venus responsible for any losses or damages. You will be required to complete a liability waiver form prior to starting the trip.

Altitude Awareness

Participants should be aware that the Peru Adventure Quest retreat includes travel to high-altitude destinations: Machu Picchu (approximately 8,000 feet), Cusco (approximately 11,000 feet), and Rainbow Mountain (approximately 17,000 feet). The Centers for Disease Control and Prevention (CDC) advises that individuals with chronic lung disease, symptomatic heart disease, and sickle cell disease may experience significant health risks at high elevations. It is strongly recommended that such individuals consult with a physician who has expertise in travel medicine prior to booking and participating in this retreat.

The retreat itinerary has been specifically designed to minimize the risk of altitude sickness; however, it is the responsibility of each participant to take necessary precautions and seek medical advice if there are any concerns regarding high-altitude travel.

Jurisdiction

These terms and conditions shall be governed by the law of the State of California and of the United States of America where applicable. Any disputes regarding these terms and conditions shall be resolved exclusively in the courts of the State of California, United States of America.
